Position: Administrative Assistant

Department:            CEO’s Office

Location:                   Tirana

 

Summary of the position:

The Administrative Assistant will be responsible for providing administrative and organizational support by ensuring smooth running of the company operations. To provide excellent customer service to internal and external customers.

 

Main Responsibilities:

  • Writes memoranda, reports, letters, and other official communications according to the instructions given by Chief Executive Officer;
  • Sorts and sends email communications;
  • Maintain file and deals with other administrative support tasks;
  • Keeps an inventory of office supplies and orders new ones as necessitated;
  • Answers phone calls, take messages and channels to the persons in charge;
  • Schedules meetings and manages the calendar of CEO;
  • Welcomes visitors to the office provides the necessary information as requested;
  • Keeps management meeting minutes and ensures they are recorded properly;
  • Records the incoming /outgoing mails and coordinates the process;
  • Reserves and coordinates of company managers travelling;
  • Supports HR Department in other administrative and organizational tasks;

 

Experience:

2 years of experience in similar positions (office administration, secretary, human resources)

 

Other criteria:

  • Holds a bachelor degree in Social Sciences, Foreign Languages, Economy or relevant field.
  • Flexible and able to set priorities;
  • Be discreet and able to keep confidential information;
  • Very well organized and has an attention to details;
  • Very good interpersonal and communications skills;
  • Very good writing skills and have strong knowledge on grammatical and syntactic rules;
  • Very good knowledge of English language in writing and speaking. Knowledge of other foreign languages will be considered an advantage;
  • Very good command of Microsoft package and email platforms;
