Job Position:              Assistant Project Manager  

Department:              Corporate Projects   

Location:                    Tirana

 

 

Main Responsibilities

  • Assist the Project Manager in daily administrative tasks, including document preparation, note-taking, and meeting organization.
  • Coordinate communication among project team members and stakeholders, ensuring that information is accurately and timely disseminated.
  • Assist in preparing project reports, including status reports, progress reports, and financial reports.
  • Track project progress and update the project management plan and relevant software to reflect changes and advancements.
  • Ensure all project documents are organized, up-to-date, and accessible to the project team.
  • Assist in identifying, assessing, and managing project risks, including maintaining the risk register and monitoring mitigation strategies.
  • Organize project team meetings, prepare meeting agendas, and maintain meeting minutes.
  • Assist in planning and allocating project resources, including personnel, materials, and equipment.
  • Assist in procurement processes, including preparing tender documents and tracking contracts.
  • Sustainability Implementation Assistance: Support the implementation of sustainability initiatives and practices throughout the project. Ensure that sustainability goals are integrated into project planning and execution. Monitor and report on sustainability metrics and progress.

 

Competencies and Requirements

  • Bachelor’s degree or relevant certificates in project management, Engineering, Business Administration, or a related field.
  • Proven previous experience in project management or a similar role.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Ability to analyze data and prepare accurate and detailed reports.
  • Knowledge on a project management software (e.g., MS Project, Primavera) is preferred
  • Excellent knowledge of software packages (e.g., MS Office).
  • Ability to work effectively in a team and build strong relationships with team members and stakeholders.
  • High level of attention to detail to ensure accuracy and completeness in all tasks.
  • Very good problem-solving skills to address issues and find effective solutions.
  • Ability to adapt to changing project requirements and priorities.
  • Proactive approach to identifying and addressing project needs and challenges.
  • Ability to manage multiple tasks and deadlines simultaneously.
  • Maintain a high level of professionalism in all interactions and communications.
  • Understanding of sustainability principles and practices, and the ability to integrate these into project management processes.
