Job position: Executive Assistant

Department: Administration

Location: Tirana


Position Summary: The Executive Assistant serves as the main point of contact in all matters relating to the Office of the Executive Director. The Executive Assistant also organizes and coordinates executive meetings and relations with third parties.


 Duties and responsibilities:

  • Provides administrative support to the CEO including calendaring, event scheduling, coordinating telephone needs and coordinating travel arrangements, preparing correspondence, meeting agendas and minutes;
  • Organizes the daily agenda of the CEO and organizes in advance all the necessary documents;
  • Serves as an initial point of contact and responds to a variety of customer inquiries and requests for information in a timely and professional manner;
  • Participates in the meeting and keeps the minutes of the meetings (reserves the meeting room, notifies the participants, keeps notes of the issues being discussed, keeps notes of the deadlines set, collects presentations in ppt);
  • Researches, gathers, analyzes, and prepares data for a wide variety of reporting;
  • Translates various documents from Albanian to English and vice versus
  • Organizes trips inside and outside the country (ticket, hotel reservation);
  • Maintains professional communication through telephone and e-mail;
  • Maintains confidential information about the CEO and other team members;
  • Realizes various orders according to the needs of the office for stationery, coffee, water, etc;
  • Performs other duties as assigned;



  • University Diploma;
  • At least one year of previous work experience in this position;
  • Languages: Excellent verbal and written communication skills in English, it is preferable to have knowledge of the Greek language as well;
  • Competent computer skills including MS Office or equivalent;
  • Internet skills including use of e-mails, group messaging, and data collection;
  • Numeracy and literacy skills;
