Position:           Institutional Relations Coordinator

Summary: He is the person who facilitates effective communication and cooperation between company and various institutions. Maintains relations with state institutions for applications, certifications, etc., as well as the needs arising from customer contracts.

 

Main Responsibilities:

  • Relations between company and state institutions:
  • Is part of contact between state institutions and company. Provision of lists of necessary documentation for various applications according to institutions;
  • Performs the last check of the application file according to the previously obtained list;
  • Completes the application at the institution and follows it according to the application deadlines;
  • Completes or specifies requirements that may be raised by the institution during the application evaluation phase. If requests for completion are raised, they are forwarded to the Unit Manager;
  • Accompanies the representatives of the institutions in the field if necessary and requested by the institution;
  • Withdraws invoices and any other type of document issued by state institutions for the services and controls they perform for the company;
  • Follows up with the Finance Department of the company the payments of invoices issued by state institutions;
  • Withdraws proofs of payments and tax invoices from state institutions for the company;
  • Assists the Finance Department of the Company:
  • Collect local taxes and fees in the respective municipalities;
  • Performs the process of verification and clarification of local taxes and fees between the municipalities and the Department of Finance;
  • Withdraw certifications for payment of local taxes and fees if requested by the company;

 

  • Relations between the company and the company’s clients:

Based on business contracts or other written relations between the company and clients, the latter are offered the following services:

  • Applications near UK and OSHEE;
  • Financial verification of contract payments. If there is a debt, the responsible person in the company is notified for the liquidation of the obligations;
  • Preparation of documentation for the UK contract transfer application file;
  • Application for the contract and its follow-up to respect the deadline;
  • Withdrawsal of financial invoices for liquidation in the finance department;
  • Withdrawal of contracts and booklets in the name of the client;
  • Notifying the responsible person in the company or the client;

 

Education: University Degree

 

Requirements:

  • Similar experience;
  • Very good written and verbal communication skills;
  • Ability to work independently and collaboratively in a dynamic environment;
  • Ability to convey information clearly and convincingly to both internal teams and external institutions;
  • Strong interpersonal skills to build and maintain positive relationships with different stakeholders;
  • Knowledge about the processes for various applications arising from the company’s relationship with state institutions as well as from the company’s relationship with its clients;
  • Have very good knowledge of the English language; other foreign languages would be an advantage;
