Job Position: Administration and Reporting Specialist

Job Summary:
The Administration and Reporting Specialist is responsible for ensuring the efficient functioning of administrative operations within the Human Resources Department. This includes drafting and monitoring the budget, processing payroll, preparing reports, maintaining the information system, and managing employee documentation, while ensuring compliance with legislation and the company’s internal policies.
Main Duties and Responsibilities:
Budget Management
- Drafts and proposes the department’s annual budget.
- Monitors and analyzes monthly expenditures, ensuring compliance with approved budgets.
- Identifies and assesses budget deviations by analyzing the underlying reasons for changes in financial performance.
Payroll Processing
- Manages the process of payroll preparation and calculation in compliance with applicable legislation and internal policies.
- Prepares and verifies periodic reports on staff changes (recruitments, terminations, promotions).
- Coordinates tax declarations and prepare the necessary documentation for external inspections.
- Maintains and updates payroll and employee data in the relevant systems
Employee Contracts and Documentation Management
- Drafts employment contracts, decisions on appointments, transfers, and promotions.
- Carries out online applications for work and residence permits for foreign employees.
- Ensures the update and safekeeping of employees’ personal documentation in compliance with legal requirements.
- Conducts regular audits to ensure compliance with applicable policies and regulations.
HR Information System Administration
- Responsible for processing, maintaining, and updating data in the HR system.
- Manages and updates the database of benefits and compensations for each position.
- Provides basic technical support to system users.
Leave and Personal Documents Management
- Records and monitors employee leaves and updates the relevant registers in the system.
- Prepares supporting documentation upon employee requests (certificates, social security booklets, etc.).
- Inform staff on HR department policies and procedures.
Data Protection and Confidentiality
- Ensures the protection of personal data in accordance with data protection laws.
- Draft and implement measures to prevent unauthorized use or distribution of information.
Work Experience:
- Minimum 3 years of work experience in Human Resources.
Other Qualifications:
- University degree in the Faculty of Economics, preferably in Finance or Business Administration.
- Very good command of the English language, both written and spoken.
- Advanced knowledge of Microsoft Office package (especially Excel, Word, and PowerPoint).
- In-depth knowledge of labor legislation and the Albanian tax system.
- Experience and skills in using human resources management software (HRIS, Payroll Software, ERP, etc.).
- Excellent analytical skills for interpreting and analyzing financial HR reports.
- Very good organizational skills in structuring and managing official documentation and preparing high-quality reports.
- Strong verbal and written communication skills, as well as interpersonal interaction skills.
- Good presentation skills in conveying information clearly and professionally, both within the department and in cooperation with other structures.
