Job Description:

The Office Coordinator is the primary point of contact in the administration office of the commercial unit. This role serves as an important liaison between the General Manager and managers, company officials, staff, and operational units during daily work activities. The position coordinates communication and workflow between the General Manager and the company’s internal departments and provides full support for the administrative office needs of TEG throughout daily operations.

 

Main Responsibilities and Duties:

  • Organizes the agenda of activities and meetings, and manages guest reception, accommodation, and all necessary services according to the schedule.
  • Takes meeting minutes for organized meetings and delegates relevant tasks to each responsible individual.
  • Delegates various matters or requests from the General Manager to responsible people related to daily company-wide operations at TEG.
  • Collect and processes data for preparing various business reports as requested by the Operation Manager.
  • Prepares official letters and announcements addressed to partners, government institutions, or private entities, according to the Operation Manager’s instructions.
  • Follows work processes for current and new business development projects, as well as contractual relations with clients.
  • Manages hotel bookings and travel arrangements, domestic and international, for the General Manager and line managers, according to travel needs and the updated unit-based travel policy.
  • Monitors hospitality and representation expenses for coffee meetings and business lunches for the General Manager and line managers and follows confirmations in AFP.
  • Performs other tasks assigned by the Operation Manager.
  • Manages the distribution of mail related to the department and TEG unit.
  • Records incoming and outgoing documents in the TEG Protocol System.
  • Organizes and coordinates transportation needs with the driver for company‑related errands for TEG.
  • Ensures the office is well-organized and equipped with functional IT devices and printers.
  • Places office supply orders under group framework contracts (stationery, water, coffee, etc.) and follows purchase confirmations in AFP.
  • Places additional office purchase orders from SPAR, Jumbo, etc., and follows confirmations in AFP.
  • Ensures cleanliness, order, and maintenance of the work environment, including cleaning services and access control for entry/exit to the Archive premises.

 

Job Requirements:

  • Bachelor’s degree in business administration, Finance, Social Sciences, or related fields.
  • Minimum 1.5–3 years of experience in a similar or related role.
  • Excellent communication and presentation skills.
  • Ability to analyze and interpret data for report preparation.
  • Methodical and well-organized.
  • High integrity and honesty.
  • Excellent teamwork skills.
  • Excellent knowledge of the English language (knowledge of other languages is an advantage).
  • Excellent computer skills.
