BALFIN Group has officially reached a new milestone in its digital transformation journey. With the launch of Phase 3 of the Group Procurement System, the Bidding/Tender Module, our tendering process is now fully digital from start to finish.
This means that everything related to tender management for all BALFIN companies operating in Albania (related to the Group Level Procurement Processes), from the very first requisition to the final bid evaluation, now happens in one unified, group-level platform.
This moment marks the completion of a long but rewarding process. Over the past months, teams across the Group have worked together to standardize workflows, automate approvals, and ensure every company can benefit from a consistent, transparent, and efficient way of managing procurement. With the final piece now in place, BALFIN officially operates with a single, end-of-end digital tendering system.
The new module transforms the way we work behind the scenes. It strengthens how we plan, how we purchase, and how we collaborate. Instead of scattered emails, manual files, and long tracking chains, the entire tendering lifecycle is now captured in one secure environment.
Users gain full visibility of what’s happening, approvals become simpler and quicker, communication with vendors becomes structured, and every action, from a request to a final award, leaves a clear, traceable footprint.
Most importantly, this brings every company of BALFIN Group onto the same page. Standardized workflows and role-based approvals help us make more informed decisions, shorten timelines, and improve the overall experience for both employees and vendors.
This shift affects everyone involved in procurement at any level. Requisition and Purchase Order creators will now see their requests move seamlessly into the tendering stage. Approvers can make decisions based on up-to-date, centralized information. Members of the Bidding Evaluation Committees can review offers with clarity and structure. Procurement managers and executives finally have one place where the entire bidding life cycle is monitored, managed, and controlled.
And above all, the BALFIN Group Procurement Unit is the central coordinator for all tender processes across the Group in Albania for the Group Level Procurement Processes, ensuring consistency, compliance with policies, timely evaluations, and proper follow-up on vendor performance after awards. The Bidding/Tender Module brings all tender-related activities under one roof.
Users can create tender events, invite vendors, receive their bids, evaluate proposals, negotiate when needed, and finalize awards, all from the same platform. Every step is governed by approved workflows, structured templates, and clear evaluation rules, making the entire process more transparent and easier to navigate.
This final phase doesn’t just digitalize a process, it elevates how we operate as a Group. It eliminates manual paperwork, reduces delays, and ensures that communication with vendors is organized and professional. It also gives us the kind of visibility and auditability that modern procurement requires.
With real-time tracking, automatic notifications, and unified documentation, we can now move faster, make better decisions, and maintain a level of transparency that benefits the entire Group.
Early on this journey, our teams invested time in building capabilities across companies. In total, 50 participants received hands-on training, representing 76 users, 15 companies, and 3 industry procurement units, supported through more than 10 hours of dedicated training.
